How a Digital Employee Saves Us Time

In today’s issue, I’ll share how we use Kal, our AI agent, to save time and simplify our operations at my consulting firm.

Who is Kal?

Kal is our digital employee, built using AI and integrated into our business using the EOS framework. Just like a human team member, Kal has an assigned manager, clearly defined responsibilities, and a place on our EOS accountability chart. (Read more about how we structure roles with EOS)

We’ve designed Kal to handle repetitive and structured tasks, allowing our human team to focus on higher-level work. This not only saves time but also reduces errors and smoothens our workflows.

How We Apply EOS to Digital Employees

Using EOS principles, we’ve structured Kal’s role with five key responsibilities:

  1. Risk and Incident Reporting
    Kal autonomously identifies risks and logs incidents, ensuring we can address potential issues quickly.

  2. Orchids and Onions
    Kal tracks feedback—orchids for positive comments and onions for complaints—helping us stay in tune with client sentiments.

  3. Weekly Pulse Meeting (WPM) Support
    One of Kal’s most impactful contributions is managing issues for our Weekly Pulse Meetings.

    • When a team member identifies an issue, they simply send it to Kal via WhatsApp.

    • Kal uses the OpenAI API to process the input: it formats, proofreads, and ensures the issue is structured correctly.

    • The finalized issue is then added to the relevant ClickUp card, tagged appropriately for discussion during the WPM.

This automation ensures issues are consistently documented, clear, and ready for review, saving significant prep time for the team. It also eliminates the need for manually creating and organizing ClickUp cards, which can be a time-consuming process.

  1. Task Automation in ClickUp
    Kal manages repetitive ClickUp tasks, ensuring they’re logged accurately and efficiently.

  2. WhatsApp Integration
    Kal communicates with the team in real-time through WhatsApp, making it easy to delegate tasks or share updates.

Kal’s Impact on Our Workflow

Kal has already saved us countless hours by automating tasks that previously required manual input. From reporting to agenda preparation, he ensures everything runs smoothly, reducing friction and allowing our team to focus on strategic goals.

Recently, we used EOS’s Elevate and Delegate tool to shift some of the repetitive tasks our management analysts didn’t enjoy over to Kal.
